JOB DESCRIPTION - LWVMC OFFICE MANAGER (PART-TIME)
Position Overview:
The Office Manager supports the administrative and executive functions of LWVMC. This part-time position (30 hours per week) reports directly to the LWVMC President and assists other LWVMC leaders and members with administrative needs. The Office Manager is responsible for office management, setting up events and meetings, data entry and reporting, and supporting communications to stakeholders, both internal and external.
The ideal candidate is highly motivated, detail-orientated, and organized with sound judgment and a passion for mission-driven work. S/he should be able to work independently as a lone staffer and also have strong interpersonal and collaborative skills to interact expeditiously and respectfully with others. S/he will be expected to uphold LWVMC’s mission and values and adhere to its organizational culture. Having League of Women Voters experience is a plus.
Responsibilities:

Communications: respond to calls, emails and mail to the LWVMC office, routing messages appropriately. Bulk mailings on the website platform (blast emails) and other mass mailings via USPS. Assist volunteers to maintain website.

Meetings and calendar: maintain LWVMC’s meeting schedule, provide administrative support for LWVMC Board meetings, annual Board retreats, all-member meetings, and LWVMC-sponsored events.

Office management: Maintain LWVMC records, documents, and files. Generate reports. Organize and order office supplies. Ensure that office equipment is in working order, keep up to date with software changes and new applications, and work with LWVMC's IT vendor to address concerns. Support volunteer use of applications and equipment (e.g., for video conferencing).

Financial matters: Authorize expenditures in line with LWVMC bylaws and policies. Under the guidance of the LWVMC Treasurer, track vendor invoices, record and acknowledge payments by check and handle LWVMC merchandise sales.

Member roster management: maintain member and non-member data on the LWVMC’s Club Express website and member management platform and the LWV membership platform; assist with member joining and renewals.

Adhere to established performance metrics. Evaluation process and metrics to be communicated in interviews and Letter of Employment Agreement.

Complete other responsibilities as assigned.
Required Skills:

Excellent time-management skills with ability to prioritize tasks and work on multiple projects simultaneously within specified deadlines.

Excellent written communication skills to be used in conveying information to members of the public as well as to LWVMC members. English language proficiency required. Proficiency in other languages, especially Spanish, a plus.

Ability to promote and support an inclusive workplace environment for individuals of all backgrounds and diverse perspectives.

Familiarity with Microsoft 365 and related products (Word, Excel and cloud storage).
Preferred Skills:
Experience with: Google Drive and related cloud products; Club Express, or similar association website and member management platform; Zoom, and similar web meeting and webinar tools, social media tools; QuickBooks, or similar accounting software; on-line fundraising tools, Canva or other graphic design programs.
Education and Experience:
An associate degree is preferred. A minimum of one year working in an office environment is required.
Work Location:
This position reports directly to the LWVMC President and is based at the LWVMC office at 27 Wood Lane, Rockville, Maryland. The Office Manager is expected to be physically present in the office unless s/he has the expressed permission of the LWVMC President to work remotely given extenuating circumstances. The office is ADA compliant. Parking is available and location is accessible by public transit.
Compensation and hours:
- Wages: The employee will be paid $42,000 annually and will work Monday through Friday, five (5) six-hour days per week. Some of these hours may include providing administrative support for monthly evening and occasional weekend meetings.
- Benefits: The employee will receive a supplement to be used for health insurance coverage. Additional benefits include annual COLA, paid time off (90 hours per year) and paid time off for all federal holidays.
